When the Tone Doesn't Feel Right

If your agent's emails don't sound like your brand, here's how to fix it.

Step 1: Identify the Problem

Common tone mismatches:

Too formal "Dear Sir/Madam, I am writing to inquire..."
Too casual "Hey! Just wanted to drop a quick line..."
Too salesy "ACT NOW! Limited time offer!"
Too long 10+ sentence emails that nobody reads

Step 2: Update Your Communication Style

Step 3: Give Specific Feedback via Chat

Be very specific about what you want to change:

Step 4: Provide Examples

The most effective training is sharing examples:

  • "Here's how I'd write this email: [paste your version]"
  • "This email from our website captures our tone: [paste example]"
  • "I like the opening of email #3 from today's report — more like that"

Step 5: Review Daily Reports

After giving feedback, check the next 2-3 daily reports:

  • Look at the "Emails Sent" section for tone improvements
  • Your agent adapts within 1-2 days of receiving feedback
  • If the tone still doesn't match, give another round of specific feedback
